Columns, export and long text in a list

Choose which fields a list shows, show them all at once, export every column or only the visible ones, import from that same file, and read a long text the table cuts short.

Most lists of your team — Clients under Sales is the one used as the example here — share the same row of buttons above the table: Export, Import and Columns, each shown where that list offers it. This guide covers the three, and how the table shows a long text.

Choose the columns

Columns opens Visible columns. It lists every field of the list and of the record's detail page, plus the custom fields your team added: on Clients that means Client Code, WhatsApp, Country, City, Address, Description and the creation and update dates, besides the columns the list already showed. Sensitive fields are never offered.

  1. Tick a field to show it, or untick it to hide it. Each row says Active or Hidden.
  2. Drag a ticked row by its handle to change the order of the columns.
  3. Press Apply columns.

Two buttons help when the list is long:

  • Show all ticks every field at once, keeping the order of the ones already shown and adding the rest after them.
  • Reset goes back to the columns the list shows by default.

At least one column has to stay ticked: while none is, Apply columns is disabled and the window says Select at least one column. The columns you choose are remembered for you. A list you never changed keeps showing its default columns.

Export the list

Export asks which columns the file includes before it builds it:

  • All columns, already selected: every column of the list, including the hidden ones.
  • Visible columns: only the columns shown in the table, in their order — the same file Export gave before you had this choice.

Press Export in the window to download the file, or Cancel to close it. A long text reaches the file whole, as plain text with no formatting marks.

Import from the same file

Import fills every field you can edit in the record's form, whether or not the list shows it as a column, so the easiest file to start from is an export of the list with All columns: change or add rows in it and import it back. The import matches the file's columns by the headings the export wrote. A column you cannot edit in the form — a calculated figure such as Total Debt on Clients, or the creation and update dates — is ignored when importing.

Read a long text

A long text, such as a client's Description, takes at most two lines in its cell, as plain text, and ends in «…» when it is cut, so every row keeps its height. A cut text has a View full text button beside it, an icon with that name.

The button opens a window titled with the field and the record, holding the whole text with its basic formatting — paragraphs, lists, bold and links. Close it with Close, with the «x» or with the Escape key. A text that fits in two lines has no button, and an empty one shows a dash.
