See what your stock lost

How the Shrinkage report gathers every product lost without being sold — damaged returns and cancellations, and lines counted short — with how much was lost, what it was worth and why.

Stock can leave without being sold: a customer brings back something broken, a cancelled sale's products cannot go back on the shelf, a count finds less than the system expected. Each of those is a loss, and each one is recorded with the product, the quantity, what it was worth and the reason somebody wrote for it.

The Shrinkage report puts them all in one place, so you can see how much you lose of each product, from where, and why.

Before you start

  • The report comes with the Inventario module. While it is off, the entry does not appear in the menu.
  • It follows the See Inventory Movement permission: whoever can read your stock movements can read the report too.

Where losses come from

A loss is recorded at the moment it happens, from one of three places:

Each of them asks for the reason of the loss and does not let you finish without it.

Open the report

Go to Products and inventory → Shrinkage report. It opens on the current month.

Use the filters at the top and press Filter:

  • Start date and End date — the period the losses happened in.
  • Branch — when your team uses branches and you are working from the team, pick one branch or leave All branches. Inside a branch, the report shows that branch only.
  • Origin — one of the three origins above, or All origins.

Read it

The summary at the top adds up the period: Pieces lost, Estimated value and Events, the number of losses recorded.

Below it, one row per product, with the most valuable losses first: the pieces lost, their estimated value and how many times it was lost. Press View on a product to see each of its losses:

  • Date and Quantity.
  • Estimated value, or Unknown cost when no cost was known for it.
  • Reason, as it was written.
  • Origin, with a link to the sell order or the physical inventory it came from.
  • User who recorded it.

Hide closes it again.

When nothing was lost in the period, the report says so instead of showing an empty table.

How a loss is valued

A loss is valued with the same cost a physical inventory uses: the lowest cost captured among the product's suppliers, then the cost of its most recent purchase, and finally its sale price. A line counted short keeps the value the count gave it.

When none of the three is known, the loss is still recorded with its quantity, but it adds nothing to the estimated value. The product's row says how many of its losses have no known cost, and each of them shows Unknown cost.

Losses from before the report

The report also shows losses recorded before it existed:

  • The lines counted short in physical inventories already completed, with the value they had then and the line's note as the reason.
  • Products already returned as damaged, valued with today's cost when one is known, and with the return's reason.

A past loss with no note and no reason shows No reason recorded. Sales cancelled before the report did not keep what was lost, so they do not appear.
