When the free plan falls short

Why your team ended up on the free plan, what it keeps no matter what, what it can no longer create or send, and the two ways to get the room back.

Every team is on a plan, and the free plan is the one a team holds when it holds no other. There are two ways to arrive there, and both of them feel like something was taken away when nothing was.

You were using Control Total before there were plans. Your team was created when the product had no plans at all, so it had no limits either — not because it had a large allowance, but because nobody had written one down yet. Now that every team is on a plan, yours is on the free one, and that is the first time your team has had a number attached to it.

You had a paid plan and it ended. A subscription that is cancelled, or one whose payment stopped going through, leaves the team on the free plan. If you were using more than the free plan includes, you now hold more than it allows.

Nothing you already made is touched

This is the part worth reading twice. Reaching a limit, or landing under one, never deletes or hides anything:

  • Every client, product, quotation, sell order, payment and invoice stays exactly where it was, and stays readable and editable.
  • Every branch you already created stays open, and you go on selling, invoicing and moving stock from all of them.
  • Every user in the team keeps signing in and keeps the permissions their role gives them.
  • Your reports still count all of it, from the first day.

A limit is about what comes next, never about what is already there.

What you cannot do

What a limit stops is creating one more of the thing it counts. The free plan includes one user, thirty products, one branch, 500 MB of space for files, and an allowance of documents. When the team is at one of those numbers, the screen that creates that thing says so and points at the plans instead of creating it. Products are counted without their variants: a variant never counts against the limit and is never refused by it.

You can still edit and delete what you have — and deleting one frees its place, so a team at its branch limit that closes a branch may open another.

Space for files works the same way, measured by size: once the team has used up its space, the next file is refused, and deleting files you no longer need from Media makes room again. Files you already have are never deleted for space.

The documents are the one exception, because they are counted per month. The free plan includes 100 created and 10 sent documents a month, and both counts start again on the first of each month:

  • At 100 created, you cannot start or save a new quotation or sell order until the count starts again. The ones you already saved stay editable.
  • At 10 sent, you cannot share a quotation or sell order you have not sent this month — by Send by whatsapp, Send PDF by email or copying its Direct link — until the count starts again. One you already sent this month can be sent again.

Your plan and support says exactly what counts as created and as sent.

The two ways out

Choose a plan. My plans, under Administration, lists what is offered with what each one includes. A larger plan raises every one of its numbers at once, and the new allowance applies as soon as the payment goes through.

Buy just the room you need. Add-ons, in the same menu, sells capacity by the unit for teams that are short on one thing only. A team that needs a second branch and nothing else buys one Sucursal adicional there rather than moving up a whole plan, a team that needs one more person buys a Usuario adicional, and a team short on space buys a step of Almacenamiento adicional, from 5 GB to 1 TB. What you buy adds to what your plan already includes, monthly or yearly to match your plan.

Both screens are only offered to someone whose role may manage the plan. If you do not see them, the person who owns the team does.

If you think this is wrong

If your team should be on a paid plan and is not — a payment that went through, a subscription you never cancelled — Support, under Administration, opens a conversation with the people who run Control Total. Say which team you are writing about and what you expected, and they can read the subscription from their side.

Your plan and support explains the plans screen, the subscription and the payment methods in full.
