Additional charges

How to charge a customer an extra amount on a sell order they have not finished paying — late-payment interest, a missed-appointment penalty — with a concept they can read, and how to take it back.

Sometimes the customer ends up owing more than the sale itself. They pay late and you charge interest for every day of delay, or they miss an appointment and the penalty is 500 pesos. Editing the sell order or making another one for that amount hides why the customer owes more. An additional charge adds the amount to the order they already have, with a concept they read next to it.

It is the opposite of a post-sale discount, which lowers what the customer still owes: see Returns and post-sale discounts.

Switch it on

Additional charges are a free module. Activate Cargos adicionales from your team's add-ons. Until it is on, no sell order offers the button. Switching it off later only hides the button again: every charge already applied stays on its order, still adds to what the customer owes and can still be removed.

Applying a charge also needs its own permission, Apply additional charges, apart from the one that applies post-sale discounts. The team owner has it; give it to whichever other roles should charge customers.

Apply a charge

Open the sell order. Apply additional charge appears among its actions while the order is created and still has something pending. A draft, a cancelled order or one paid in full does not offer it.

The form shows the order's Total Pending and asks for:

  • Charge amount, above zero. It is the final amount: no tax is added to it, so write exactly what the customer has to pay. Interest per day of delay is worked out by you — 20 pesos for each of 6 days is a charge of 120.
  • Concept, which is required. Write it for the customer, such as «Late payment interest» or «Missed appointment penalty»: they see it on the order's public page, as the form reminds you under the field.

Press Apply charge. The order's total to pay and its pending balance go up by that amount, and the order's history records it with its concept and amount.

What the customer sees

The charge shows wherever the order's totals show — the sell order's screen, the printed order, the ticket and the order's public page — as its own line, Additional charges, added between the Total and the Total to pay. Under Payments and adjustments it has a row with its date, «Additional charge», its concept and the amount, positive.

The customer's account statement and the debt list count it as well, so what the customer owes there already includes it.

Take a charge back

Open the charge from Payments and adjustments on the sell order. Its window shows the date, the concept and the total, and Remove when you have the permission to apply charges. Removing it subtracts the amount, recalculates the order's totals and its payment status, and leaves a note in the order's history. It works even when the order has nothing pending any more and even with the module switched off, so a charge applied by mistake can always be corrected.

Charges and invoices

An additional charge never goes into an invoice. An invoice issued before the charge stays exactly as it was, an invoice made from the order afterwards takes the order without the charge, and a charge never gets a credit note. A sell order with a charge can therefore owe more than its invoice says. If the charge has to be invoiced, issue a separate invoice for it. See Issue a CFDI invoice.
