Connect your AI assistant with MCP

What MCP is, how to switch it on for your team, how to create a token in the team settings, and what Claude, ChatGPT or another assistant can do there with your permissions.

You can connect your own AI assistant, such as Claude or ChatGPT, to one of your teams through MCP, a standard way for assistants to use an application. The assistant then works only in that team, with your role and permissions there and nothing more: what you cannot do in that team, it cannot do either, and it never sees your other teams.

This is not the assistant that turns a spoken note into a sell order. MCP connects an assistant you already use, from outside Control Total.

Switch on MCP for the team

MCP is an add-on, free on every plan, and like every add-on it starts switched off. Whoever manages the team's plan opens Settings at the bottom of the menu, chooses Add-ons, and clicks Activate on MCP. Clicking Deactivate stops every assistant connected to the team at once; the tokens are kept and work again when MCP is switched back on. See Your plan and support.

Create a token

Creating tokens needs the Manage Mcp Tokens or the Edit Settings permission in the team. The Integrations tab only appears while MCP is switched on; if you do not see it then, ask the team's owner for one of those permissions. See Who can do what.

  1. Open Settings at the bottom of the menu, choose General, and click the Integrations tab.
  2. Copy the MCP server URL into your assistant's settings, where it asks for a remote MCP server.
  3. Write a Token name that tells you where you use it, such as Claude Desktop, and click Create token.
  4. Copy the token from the yellow box and paste it into your assistant, where it asks for a bearer token. The token is shown only once: after you click Done only its name stays. If you lose it, revoke it and create another.

Create one token per assistant or device, so you can stop one without touching the others. A token works only in the team where you created it; to use the assistant in another team, create a token there.

What the assistant can do

It can describe the team and your role in it, and, when your role allows it, list the members and the roles, invite a person by email, remove a member and change a member's role, with the same rules as the members screen. When you are not allowed to do something, the assistant is told which permission is missing and nothing changes.

So an owner's token can manage every member, while the token of someone whose role cannot remove members gets that refusal instead. Changing someone's role changes what their tokens can do right away, and a person who loses both permissions above has every token they created stop working.

With the same rules as the team's screens, it can also:

  • The team: change its name and description. It never deletes the team.
  • Invitations: list the ones nobody has accepted, cancel one or send it again.
  • Roles: list the permissions, and create, rename, change or delete a role. A role only gets permissions you have yourself. See Who can do what.
  • Add-ons: list them and switch one on or off. It sees no prices and never buys anything: it only switches on an add-on the team already has or one that is free.
  • Files: list the team's folders and files, create a folder, rename or delete a file. It cannot upload anything.
  • Tickets: list the support tickets you can see, read one, reply to it as you, and close it.
  • Data: list the team's exports and imports, and start an export. An import needs a file, so it stays in the team settings.

It can also work with the team's business, with the same rules as each screen and only as far as your role reaches:

  • Products: list and search them, open one, create one, change it and delete it. Photos, files, taxes, suppliers and the inventory count are still set on the product screen.
  • Variations of a product, while the Product Variation add-on is on: list them, add an option with its values, such as Size with S and M, and change a variation's name, bar code, price or whether it is offered.
  • Clients: list and search them, open one, create one, change it and delete it.
  • Suppliers, while the Purchase Order or the Income and Expenses add-on is on: list and search them, open one, create one, change it and delete it.
  • Quotations: list and search them, open one, create one and change or delete a draft. A quotation it creates is saved as a draft, with the products you ask for already on it. A quotation already sent is not changed, and it is cancelled from the screen.
  • Sell orders: list and search them, open one with its lines and payments, create one and change a draft, and cancel one, with its reason, the refund of what was paid and what happens to the stock. A sell order it creates is saved as a draft with the products you ask for and no payment: you finish it on the sell order screen. See Cancel a sell order.
  • Payments: list the money that entered or left the team and open one, and register a payment a client made on a sell order with a pending balance. It never registers more than what is pending, and the payment goes to the sell order's branch; if your role does not reach that branch, nothing is registered. It does not pay purchase orders, open or close cashier shifts, or move money between cashboxes. See Register a payment.
  • Purchase orders, while the Purchase Order add-on is on: list and search them, open one, create one and change a draft. Like a sell order, it is saved as a draft with its products and no payment, and it needs its supplier before any product.
  • Products on a quotation, sell order or purchase order that is still a draft: add a product, change its quantity, price, description or discount, and remove it, with the same rules as the document's screen. It takes your client's price list unless you give it another price, checks the stock and the reservation dates in the document's branch, and asks for a variation when the product is sold by variations. A product already on the document whose name cannot be edited is not added twice: ask it to change that line's quantity instead. A discount is a percentage or an amount, and setting it to 0 removes it. When you ask it to create a document with several products and one of them is refused, nothing is saved, and it is told which product failed and why. The document it answers with shows its taxes and each line's description and discount.
  • Reservations, while the Reservations add-on is on: list them, create a pending one and change one that is still pending.
  • Internal orders, while the Internal Order add-on is on: list them, and turn a draft sell order that already has its lines into an internal order with the folio you give it.
  • Stock, while the Inventory add-on is on: list every movement of stock, adjust a product's quantity in a branch, and list and create transfers between branches. A transfer is saved as a draft unless you ask it to send it. With the Physical Inventory add-on, it also lists the physical counts and the shrinkage they found. See Every movement of your stock.
  • Branches, cashboxes and cashier shifts: list them, only reading. Cashboxes and shifts need the Cash Register Closing add-on.
  • CFDI invoices, while the Invoicing add-on is on and your fiscal data is set up: list and search them, open one, stamp a draft and cancel a stamped one with its SAT reason. Stamping issues a real CFDI and uses one stamp of your balance. See Issue a CFDI invoice and Cancel or replace a CFDI.

Before deleting, removing a product from a document, cancelling, registering a payment, sending a transfer or stamping, the assistant has to confirm it in a second step; until then nothing changes. Every stamp or cancellation it confirms is recorded with your name and the token's, even when it does not go through. When an add-on it needs is switched off, it is told so, and to switch it on in Add-ons, and nothing changes. When your role reaches only some branches, it does not see the quotations filed under another branch, as on the quotations screen. When your team uses branches, a quotation, sell order or purchase order it creates, a stock adjustment and a transfer are filed under the branch you tell it, among the ones your role reaches; if you do not say which, it is given the list of those branches to ask you. See Create a quotation.

It answers in your language, the one set in your profile, and when something it sends is not valid it is told what to correct.

Whatever it changes is recorded with you as the author, and the history of that record shows a Via MCP tag with the name of the token it used.

Revoke a token

In Integrations, click Revoke next to the token and confirm. It stops working right away; the other tokens keep working. The list shows every token of the team with who created it, and anyone who reaches Integrations can revoke any of them.
