Capture a line by its total
How to type the total a product should come to on a quotation or a sell order and let Control Total work the price out from it, and how to go back to capturing the price.
Sometimes you know what a line has to come to — $5,000.00, taxes included — and not the price before tax that gets you there. On a product whose price you can edit, you can type the line Total instead, and Control Total works the price out for you.
Where you can do it
On a quotation, a sell order and a fast order, on the lines of products with Is Price Editable turned on. On those lines the Total column is a field. On every other line the total is still a figure you read, and purchase orders keep capturing the cost.
If a product's price is not editable, turn Is Price Editable on in the product first. See Products and stock.
Type the total
- Add the product, and set its quantity and its discount if it has one.
- In the line's Total, type the amount the line has to come to —
5000— and leave the field. - The line now totals exactly that, and the Price field is locked, showing the price that was worked out.
The total you type is the line's final total: after its discount, with the taxes the line carries. The price is worked out from it, the quantity, the discount and any extras the line has, with as many decimals as it takes, up to six, for the line to land on what you typed — even when your Decimals for Productos is 2. See How a line adds up, to the cent.
When the product sells at a price with taxes included, the locked Price shows the final price per unit instead of the price before tax.
A total of zero or less is not accepted: the field says so and the line stays as it was.
While the total is in use
- Change the quantity, and the line keeps the total you typed; the price per unit is worked out again.
- Change the discount, and the line keeps the total too; the discount is kept and the price moves to make room for it.
- Remove one of the line's taxes, and the total still holds.
- Save as draft, and the total in use is kept: when you open the draft again, the line is still captured by its total.
You cannot edit the price and the total at the same time.
Go back to the price
Next to the total, the X — Stop using the total — ends it. The Price field is editable again and keeps the price that was worked out; it does not go back to the price the line had before you typed the total. From then on the line works as usual: change the price, and the total follows it.
